This Privacy Policy describes how Sundeep Group ("we", "our", "us") collects, uses and protects information when employees and authorized partners use the Sundeep Congo mobile application (the "App").
The App is an internal business tool used to manage import, logistics and stock operations in the Republic of Congo. It is not intended for public or consumer use; access is limited to users who have been provided with a company account.
1. Information We Collect
1.1 Account and identity information
- Name
- Business email address and/or username
- Role, department and site/warehouse assignment
These details are typically created and maintained by our internal administration team or HR based on your employment or contractual relationship with us.
1.2 Authentication information
To allow you to sign in securely, the App and our backend systems process your login credentials (such as password or other authentication tokens). Passwords are handled by our authentication systems and are not visible to other users of the App. We strongly recommend that you keep your credentials confidential and do not share them with anyone.
1.3 Operational and business data
When you use the App, you may view and update operational data such as:
- Purchase orders and PFIs
- Container and shipment details
- Customs, port and delivery status information
- Warehouse and stock records
This information relates primarily to our company's import and distribution activities. In some cases it may indirectly contain personal data (for example, names and contact details of suppliers or drivers) where required for operations.
1.4 Device and technical information
We may automatically collect certain technical information when you use the App, such as:
- Device model, operating system version and unique device identifiers
- App version and language settings
- IP address and general location derived from the IP address
- Log information (such as timestamps, error codes and crash reports)
This information helps us ensure the App works correctly, diagnose issues and improve performance and security.
1.5 Usage information
We may collect information about how the App is used, for example:
- Which screens are opened and for how long
- Buttons or actions used (such as searching, filtering or updating records)
- Dates and times of access
We use this information to understand how the App supports our operations and to identify areas for improvement.
2. How We Use Information
We use the information described above for the following purposes:
- To provide and operate the App. This includes authenticating users, displaying the correct shipments, stock and other operational data, and saving your changes.
- To maintain security. We monitor access to detect unauthorized logins, misuse or suspicious activity and to protect our systems, data and staff.
- To improve performance and reliability. Technical and usage data help us understand errors, crashes, slow screens and other issues so we can fix problems and optimize the App.
- To meet legal and compliance obligations. We may process and retain information where required by applicable laws, regulations, customs or tax authorities.
- To support internal reporting and management. Aggregated information from the App may be used for internal analysis and decision-making across the Sundeep Group.
3. Legal Basis
Where data-protection laws require a legal basis for processing, we generally rely on the following:
- Performance of a contract – operating the App so that you can perform your job or contractual duties.
- Legitimate interests – running and improving our business, securing our systems and managing our logistics and stock, provided these interests are not overridden by your rights.
- Compliance with legal obligations – keeping records and providing information to authorities where required by law.
4. How We Share Information
We do not sell your personal data.
We may share information with:
- Other Sundeep Group entities to coordinate operations, accounting and management across different countries and sites.
- Service providers who host the App, provide cloud infrastructure, backup, analytics, crash reporting or similar technical services. These providers are required to handle data according to our instructions and applicable law.
- Authorities or third parties where we believe disclosure is required by law, regulation or legal process, or to protect our rights, safety, property or the safety of others.
5. International Transfers
Because we operate in multiple countries and use cloud services, information processed through the App may be stored or accessed in jurisdictions other than where it was originally collected. We take reasonable steps to ensure that any such transfers comply with applicable data-protection laws.
6. Data Retention
We keep personal data for as long as necessary to operate the App, support our business operations and comply with legal obligations. In general:
- Account information is kept while your user account is active and for a reasonable period afterwards (for example, to maintain audit trails).
- Operational records related to shipments, stock, customs and invoicing may be kept for longer periods where required by accounting, customs or tax rules.
- Logs and technical data are kept for shorter periods unless needed to investigate specific incidents.
7. Security
We use reasonable technical and organizational measures to protect information processed through the App against accidental or unlawful destruction, loss, alteration, unauthorized disclosure or access. However, no system can be guaranteed to be completely secure. Users are responsible for keeping their passwords and devices secure.

Depending on the laws that apply to you, you may have rights such as the right to access, correct or delete your personal data, to object to certain processing or to request that processing be restricted.

9. Children
The App is intended for adult employees and authorized partners only. We do not knowingly collect personal data from children. If you believe that a child's data has been provided to us in connection with the App, please contact us so that we can take appropriate steps.

We may update this Privacy Policy from time to time, for example to reflect changes in the App or in applicable laws. The latest version will always be available at this page and will include the date of the most recent update.
